Donor Fuse gives you robust tools to control user access, ensuring every team member sees and manages only what they should. Here’s how user permissions work and how to configure them for your organization.
Accessing and Setting Permissions
When adding or editing a user, go to the Permissions tab. You’ll see a table of key sections, including:
- Donors
- Donations
- Payments
- Donation Schedules
- Campaigns
- Sponsorships
- Accounting
- Fundraiser Reports
- Accounting Reports
- Tasks
- Seats
- Settings
For each section, you can:
- Enable or disable access (checkbox)
- If enabled, configure:
- View (All, None, or Assigned)
- Created (Yes or No)
- Update (All, None, or Assigned)
- Delete (All, None, or Assigned)
- Import (Yes or No)
- Export (All, None, or Assigned)
How “Assigned” Permissions Work
- For Donors: If a user has “Assigned” permissions for Donors, they will only see donors who are assigned to them as fundraisers.
- For Donations, Payments, and Related Records: If a user has “Assigned” permissions for sections like Donations or Payments, they will see all records linked to donors assigned to them. The assignment is based on the donor, not on who processed the donation or payment. If Donor A is assigned to a user, that user will see all of Donor A’s donations and payments, even if someone else entered the transaction.
Fund-Based Permissions
Fund-based permissions must be enabled by Donor Fuse support.
- You can restrict a user to view and manage only specific funds.
- When enabled, the user will still see all donors, but will only see donations and payments from campaigns associated with their allowed funds.
- Donor totals and summaries are recalculated based only on the funds the user can access. For example, if a donor gave $1,000 in total but only $500 to a fund the user can access, the user will see $500 as the total for that donor.
- Important Limitation: When fund permissions are enabled, users cannot create a payment that is split across multiple funds.
- Scope: Fund permissions only affect the fundraising modules (Donors, Donations, Payments, etc.), not the Accounting module. Do not give Accounting access to users with fund restrictions, as accounting transactions can include multiple funds and bypass these restrictions.
Billing and User Management Access
Each user can also be granted Billing/Users access. When enabled, the user can add or edit other users and change billing plans or payment methods. Only trusted admins should have this access.
Best Practices
- Assign only the minimum permissions needed for each user’s role.
- Use “Assigned” and fund-based permissions to limit team members to their own donors and activities.
- Regularly review and update user permissions as roles change.
- Limit Billing/User management access to trusted staff.
- Remember: Fund permissions do not limit access in Accounting. Grant Accounting access only where appropriate.
Troubleshooting and Support
If a user cannot see certain records or sections, check:
- Their permissions for each relevant section and the settings in the Permissions tab.
- Whether “Assigned” or Fund restrictions are enabled.
- Their access to Accounting if fund-based permissions are in use.
