The Gateway Transactions list lets you process multiple transactions at once — importing them as donations, recording them as income, or hiding them — without handling each one individually. This is especially useful when your gateway brings in a large batch of new transactions.
Navigate to Gateway Transactions
There are two ways to reach the Gateway Transactions list.
Option 1 — From Settings:
- Click Settings on the Main Menu, then click Gateway Accounts.
- Click the name of the gateway account you want to work with.
- Click the Gateway Transactions tab (the second tab, after Batches).
Option 2 — From the Payments list:
- Click Donations on the Main Menu, then click Payments.
- If there are unmatched gateway transactions, a Gateway Transactions button with a count appears above the payments list. Click it to open the Gateway Transactions list.
- Use the gateway dropdown at the top of the page to select the specific gateway account you want to work with.
Choose Which Transactions to Display
- Use the status dropdown to choose which transactions to display:
- Active — transactions that have not yet been categorized or hidden
- Hidden — transactions you have previously hidden
Select Transactions
- Check the box next to each transaction you want to include in the bulk action.
- To select every transaction on the current page at once, check the box in the column header.
- If your total results span multiple pages and you check the header checkbox, a note appears confirming that all matching records across every page are selected — not just the current page.
A selection count appears above the table showing how many transactions are selected. As soon as at least one transaction is selected, a Select Action button appears in the toolbar.
Apply a Bulk Action
- Click Select Action to open the action menu. The options available depend on which status you are viewing.
Import as Donations (Active transactions)
Use this action to create a donation record for each selected transaction.
- Click Select Action, then choose Import as Donations.
- In the Bulk import Gateway Transactions panel, fill in the details to apply across all selected transactions:
- Donor — choose a donor to assign to any transaction that does not already have one linked
- Campaign — select the campaign to associate with the imported donations
- Fundraiser (optional) — assign a fundraiser to the donations
- Sponsorship (optional) — link a sponsorship to the donations
- Event (optional) — associate the donations with an event (available if your account tracks events)
- Click Import. Donor Fuse creates a donation record for each selected transaction and removes them from the Active list.
Record as Income (Active transactions)
Use this action to post the selected transactions directly to an accounting income account. This option is available on accounts with the Accounting module enabled.
- Click Select Action, then choose Record as Income.
- In the Record as Income panel, fill in the following:
- Select Income Account — choose the income account to post the transactions to
- Fund (optional) — assign a fund if your account tracks funds
- Click Save. The selected transactions are recorded as income and removed from the Active list.
Hide (Active transactions)
Use this action to remove transactions from the Active list without categorizing them — for example, transactions you do not want to track.
- Click Select Action, then choose Hide.
- Confirm the action when prompted. The selected transactions move to the Hidden list and no longer appear in Active view.
UnHide (Hidden transactions)
Use this action to restore hidden transactions back to the Active list.
- Switch the status dropdown to Hidden to display hidden transactions.
- Select the transactions you want to restore, then click Select Action and choose UnHide.
- Confirm the action when prompted. The selected transactions are returned to the Active list.
Tip: You can use the search bar and filter options to narrow down the list before selecting transactions, making it easier to target a specific group for a bulk action.
